Principal Functions (Major Areas of Responsibility)

• Provide administration support to the project manager on contract administration
• Administration of helpdesk module and reactive maintenance. Producing reports and analyzing trends
• Daily PPM oversight and ensuring that site technicians complete against KPI’s (additional training on TAM).
• Ad hoc & prescribed reporting (monthly, energy, finance, timesheet & O/T) as examples.
• Assisting with administration of site improvement pans
• Liaison with external contractors for programming of works, submission of Method statements and timely invoicing
• Auditing.
• Coordination with site engineers for completion of monthly reports (client & internal), RCA reporting. Ensuring quality is maintained and meets with internal procedures and formatting.
• Perform proper documentation and filing; organize and secure copies of general operations documentation
• Populate General Operations, Consultancy and H&S folders on the cloud-base knowledge depository SharePoint
• Follow and maintain required DTZ standard formatting in all documents
• Internal – coordinate with related departments in terms of providing general operation requirements (HR, Procurement, Finance, Business Development)
• External – coordinate with suppliers and/or clients as required
• Provide extensive support on training initiatives of the company
• Attend and record minutes of meetings as required

Duties and Responsibilities:

Cyclical:

1. Preparation of draft monthly reports
2. Preparation of TAM reports and dashboards
Typical ‘on demand’ tasks:
1. Monitor and liaise with procurement on office supplies
2. Organize training sessions
3. Deliver training courses when necessary
4. Provide support in the development of Work Method Statements (WMS)
5. Any other duties as requested
Qualifications, qualities and experience:
• University graduate
• Minimum 2 to 3 years working experience as admin assistant / coordinator / secretary
• Work experience in FM industry is an advantage
• Good command of spoken and written English
• Strong interpersonal communication skills
• Strong personal computer skills (MS Office and related web-based applications)
• Ability to multi-task with concentration, speed, and accuracy while maintaining service standards
• Ability to work under pressure and meet tight deadlines
• Ability to exercise good judgment, problem-solving ability, and resourcefulness in the absence of formal guidelines and procedures
• Ability to interpret and adapt known methods, system procedures, or operating concepts to new situations
